2. Personal Data We Process

When you complete and send the contact form on our website, only the following data is processed:

• Identity and contact details: full name, email address
• Enquiry content: the information you write in the message field

3. Purposes of Processing

• Assessing and responding to the enquiry you send us
• Preparing a quotation and contacting you
• Managing the business relationship if your enquiry leads to one

4. Legal Basis

We do not rely on your explicit consent, which is why the form has no consent checkbox. Processing is based on the following grounds under Article 5/2 of the Turkish Personal Data Protection Law (KVKK):

• For quotation requests and pre-contractual discussions: processing is directly related to the conclusion or performance of a contract (Art. 5/2-c)
• For general enquiries and replying to questions: the legitimate interests of APEX, provided this does not harm your fundamental rights and freedoms (Art. 5/2-f)

5. Method of Collection

The contact form does not send your data to an APEX server. When you press "Send", your browser opens your own email client and the message is sent directly from your own email account to APEX. The data therefore reaches us exactly as if you had written us an email by hand, and never passes through the website server.

6. Transfers

Your personal data is not shared with third parties for marketing purposes. Only the following service providers are involved:

• Email: Your message arrives in APEX's corporate mailbox. Mail services are provided by Promail (promail.com.tr), whose servers are located in Türkiye (Istanbul). There is therefore no transfer abroad of your contact form data.
• Hosting: The website is published on hosting provided by Webhosting Bilişim Teknolojileri A.Ş. (hosting.com.tr), whose servers are located in Türkiye. Acting as a data processor, the provider retains technical connection records such as your IP address and browser information in order to deliver the service and maintain its security. These technical records are separate from the contents of the contact form.
• Competent public authorities, where required by law.

7. Retention Period

Your data is kept until your enquiry has been resolved and in any case for no longer than 1 year, after which messages are deleted from the mailbox. If your enquiry leads to a contract, the retention periods required by applicable legislation apply.

8. Your Rights

Under Article 11 of the KVKK you have the right to: learn whether your personal data is being processed; request information if it has been processed; learn the purpose of processing and whether the data is used in line with that purpose; request correction of incomplete or inaccurate data; request erasure or destruction; request that these actions be notified to third parties to whom the data has been transferred; object to a result arising against you from analysis carried out solely by automated systems; and claim compensation for damage arising from unlawful processing.

9. How to Apply

You may submit requests concerning your rights in writing to the address above, in line with the Communiqué on the Procedures and Principles of Application to the Data Controller. You may also apply using a registered electronic mail (KEP) address, a secure electronic signature, a mobile signature, or an email address you have previously notified to APEX and which is registered in our systems. Your application will be concluded within 30 days at the latest.
